The Office of the Dean in the Eberly College of Arts and Sciences at West Virginia University is currently accepting applications for a Grants Administrator.
About The OpportunityWorking within the Eberly College Research Office, this position will be responsible for providing daily pre-award grants administration services to members of the College. The position will include pre-award proposal development and submission of any federal or private funding, along with training for diverse audiences. The position will also assist with special initiatives from the Eberly College Research Office.

What You'll Do
- Lead the preparation of proposals with varying levels of complexity from initiation through submission.
- Interpret complex funding opportunity announcements and prepare grant applications and budgets compliant with agency requirements and Office of Management and Budget (OMB) administrative requirements and cost principles.
- Develop detailed budgets for grant applications with optimal prospects for success and ensure that budgets are accurate before submission to approving agents.
- Provide professional technical writing review, edits, and/or makes changes to proposals.
- Initiate and complete online grant applications in institutional systems (such as WVU KC+) and online sponsor portals (research.gov, grants.gov, ASSIST, etc.).
- Complete complex online forms, compile biographical sketches and other supporting documents, and upload these documents into internal and external submission systems.
- Provide professional guidance to faculty in identifying current agency funding opportunities and advise faculty and researchers on searching/selecting grant opportunities that fit within their research.
- Provide leadership in identifying faculty grantsmanship opportunities with the identification, development, and presentation of funding opportunities for college faculty and researchers.
- Build and maintain expert knowledge of federal, state and funding agency policies that are critical for successful grant applications and proposal submissions, as well as institutional rules and policies.
- Advise/educate faculty on area of expertise as it applies to pre-award processes.
- Develop regular email newsletter announcements to be distributed to faculty and researchers.
- Work independently to implement a variety of correspondence and special projects.
- Provide faculty training on appropriate pre-award procedures and advise on policies and procedures
- Provide and assist with training sessions on funding process, writing strategies, time management, technical report development etc.
- Develop and maintain expert database of faculty biosketch/research profiles conducted by faculty across the college
- Assist the Associate Dean for Research and Graduate Education and the Director of Pre-Award Grant Services with other projects as needed.
EducationMaster’s Degree in a related field or an equivalent combination of education and experience.
ExperienceMinimum of three (3) years of grants administration and/or grants management experience, preferably in higher education.
Knowledge, Skills, And Abilities
- Excellent verbal and written communication skills.
- Ability to work independently and carry out assignments accurately and thoroughly with minimal/no supervision.
- Experience with Pre-Award Grants administration including working with proposals and sponsored projects.
- Experience and advanced knowledge of software including Microsoft Word, Excel, and Adobe Acrobat.
- Ability to read and interpret complex written information.
- Knowledge of various grant proposal application processes.
- Ability to perform financial calculations, prepare budgets, and present numerical data effectively.
- Ability to gather and analyze information, identify problems, develop alternatives, and use reason even when dealing with emotional topics.
- Ability to promptly respond to needs and requests for service and assistance.
- Demonstrated experience managing multiple concurrent projects and meeting deadlines.
- Ability to provide, solicit, and apply feedback and build goodwill through balanced contributions, positive approach, respect, and support of others.
- Ability to participate in meetings, listen, and get clarification when needed.
- Ability to respond and speak clearly and persuasively in positive and negative situations.
- Ability to align work and develop strategies to meet organizational goals.
- Willingness to improve and promote quality and uphold organizational expectations and values.
Preferred Qualifications
- Certified Research Administrator (CRA) Certification
